Reporting Workflow

Create, review, and finalize reports in HeartLab based on your user role and permissions.

Reporting Workflow

HeartLab supports a multi-stage reporting workflow designed to support clinical review, verification, and final sign-off.

In a typical dual sign-off workflow:

  1. A Technician or Trainee drafts a preliminary report
  2. The report is reviewed and approved
  3. The study is assigned to a Physician
  4. The Physician performs the final clinical review and sign-off

Once finalised, reports may be automatically distributed to connected electronic medical record systems and designated recipients, depending on your organisation’s configuration.

Applies to

  • All users involved in report drafting, review, or final sign-off

Under the default HeartLab roles:

  • Trainees — Can draft preliminary reports
  • Technicians — Can draft and approve preliminary reports
  • Physicians — Can review, edit, finalise, and amend reports
  • Administrators — May amend finalised reports depending on permissions
Reporting workflows and permissions may vary depending on your organisation’s HeartLab configuration.

Create a Preliminary Report

  1. Open the target study from the Study List.
  2. Select Report in the top-right corner, or press R.
  3. Select the required report template.
  4. Complete the required report sections.

Depending on the configured report template, reports may contain:

  • Free-text fields
  • Dropdown selections
  • Structured observations
  • Auto-populated measurements

HeartLab automatically saves report changes as edits are made.

Some report fields may automatically populate using existing study data and measurements.

Submit the Preliminary Report for Review

  1. Assign the study to the reviewing Physician.
  2. Select Review Preliminary Report.
  3. Review the report content.
  4. Select Approve Preliminary Report.

The study is now ready for Physician review and finalisation.

Studies with approved preliminary reports are identified in the Study List using a blue status indicator.

Finalise a Report (Physician Sign-Off)

  1. Open the target study from the Study List.
  2. Select Report in the top-right corner, or press R.
  3. Select Edit and update the report if required.
  4. Select Review Final Report.
  5. Verify the report content.
  6. Enter your PIN.
  7. Select Finalize Report.

Once finalised:

  • The report becomes read-only for standard users
  • The Physician signature is applied
  • Distribution workflows may begin automatically
Finalising a report confirms the report has been clinically reviewed and approved.
The Review Final Report option remains disabled until all mandatory report fields have been completed.

Amend a Finalised Report

If changes are required after finalisation, authorised users can create a report amendment.

  1. Open the target study from the Study List.
  2. Select Report in the top-right corner, or press R.
  3. Select Amend Report.
  4. Edit the required report sections.
  5. Enter the reason for amendment if prompted.
  6. Select Review Amendment.
  7. Verify the amendment content.
  8. Enter your PIN.
  9. Select Confirm Amendment.

Amended reports are redistributed automatically if distribution workflows are configured.

Amended reports retain the name and signature of the Physician who finalised the original report.

To delete the most recent amendment:

  1. Open the amendment.
  2. Select Delete Amendment.

The report header colour changes according to the current report status:
